ChatGPT can draft a cover message for you in seconds:

"Write me a WhatsApp message to send to my café staff asking if anyone can cover a shift this morning from 9am to 2pm. Keep it friendly but clear, and ask them to respond by 8:30am."

Having a template like this ready, or generating one quickly, means you're not sending a garbled panic text. You can also use AI to draft a more formal follow-up if the absence becomes a pattern that needs addressing.

Managing Holiday and Availability with AI-Assisted Spreadsheets

Tracking holiday entitlement, approved leave requests, and changing availability across five to eight part-time staff is a source of ongoing confusion for many café owners. A well-structured Google Sheet managed with AI help can replace the notebook or the mental list.

Ask ChatGPT to design a holiday tracker spreadsheet for a small café team. It'll give you a layout that tracks entitlement, days taken, days remaining, and any blocked-out periods. Update it when holidays are approved, and you won't find yourself in September realising three members of staff have all booked the same week off.
